Match and mail


The Match facility in the editor allows users to generate and send customised lists of properties to single or multiple applicants. The match button can either be used while in the 'Properties' section of the Editor to match specific properties to applicants, or while in the Applicants section to match specific applicants to properties. In the guide below the examples are of matching properties to applicants, but the opposite procedure is very similar.

Step 1 - First select one or more properties and press the 'match' button. The Match'n'Mail box below should appear, giving you various options of which properties you wish to match.



Step 2 - Click next . If 'The selected properties' or 'All properties from this folder/office etc.' was selected, then you should then be shown a list of the properties to be included in the match. Individual properties may be de-selected at this stage if necessary.



If 'A selection of properties based on a search' was selected, then you will need to first enter the search criteria to determine which properties will be used in the match.





Step 3 - Once the correct list of properties has been selected, click next. You will then be asked whether to include 'matching applicants' or 'a selection of applicants'.



If 'matching applicants' is selected, the Editor will search through the details of applicants in the database to see whether any of the properties in the match falls within their requirements. In the case of having multiple offices set up in the Editor, you will first need to specify if you wish to search in just the office which contains the property, or all offices.



Step 4 - After clicking next, you should then be shown a list of matching applicants.



If 'A selection of applicants' had been selected at step 3, this list will be blank. To select applicants you need to click on the 'Search' button and use the standard Editor search facility.



Step 5 - After the list of applicants has been determined, you will be given the choice of either sending the property details by e-mail or by SMS text message.





If the option to send by e-mail is selected, after clicking next you will need to specify whether the property details will be sent as a list of links directly to the property adverts on the Findaproperty site or as a word document attachment. You are also given the option here of automatically saving the document to a certain location as soon as it is generated.





If the option to send as a document file attachment is being used, you next need to specify whether the details will be sent as a list (which will create a single document) or as individual property documents, which will create a separate file for each property.



Step 6 - After clicking next, you should now come to the final step.



Clicking on the 'Send' button will generate an e-mail or SMS message, which may be viewed but not edited before sending.





Only the first e-mail will be seen if details are going to be sent to multiple applicants. However, if multiple properties where being matched, each list that is sent out may be different, containing only the properties which fell within that applicants requirements

Note: If the option to 'Edit templates in match and mail' has been ticked under View/options/Print set up, then the page below will appear before you get to step 6.



You may also send details of a specific property to matching applicants by opening the property details box, clicking on the 'Status' tab and selecting 'Send to applicants'. This will open the Match'n'Mail box at the appropriate step. A list of matching applicants for the property may be printed by clicking on 'Ring round list'. This will open the Print Wizard (see 'Printing')



A list of matching properties for a specific applicant may be printed by opening an applicants details box, clicking on the 'Status' tab and selecting 'Find properties'. This will also open the Print Wizard.
